You will build relationships with Legal PA's, Paralegals and other support staff in order to best champion their HR needs. You will have overall responsibility for Joiner and Leaver Administration, Reference letters, Exit interview management, Work Experience placements, coordinating the Probationer, Trainee & Client secondment process and log invoices and be responsible for the production and analysis of quarterly summary reports and data.
You are a high flying graduate from a red brick University with a minimum of 12 months HR experience or significant administration experience gained during a University Placement or Industry year.
You'll be a natural rapport builder and have true ambassadorial qualities. You'll have good IT skills and strong communication skills. You'll be able to prioritise projects and workload with minimal supervision and be able to deliver to a consistently high standard regardless of pressure. You'll be comfortable working in a large international organisation and a partnership environment with experience of professional of the legal industry preferable. An amazing opportunity has arisen within a firmly established, high quality international pharmaceutical company based in the heart of London's West End. The role itself will focus on being the lynch-pin of the office team, providing top pro-active PA support to the General Manager, delegating and managing the business support team and giving fantastic customer service when liaising directly with clients.
Daily you will provide an outstanding client service experience, prioritising tasks and delegating where necessary and be in charge of making sure everyone in the office is up to date with current product promotions. You will be the General Manager's right hand person, and provide line management to the business support team. You will attend leadership meetings and take minutes, whilst being proactive and innovative where necessary. You will manage the company calendar, and be responsible for the office health and safety. You will help co-ordinate sales and marketing events across Europe, and there will be the opportunity to travel to the Head Office in Scandanavia to be able to communicate company strategies to your team. There will also be the opportunity to get involved in basic accounts and invoicing, so knowledge of sage would be preferable.
This is a true all rounder role, and would be ideal for someone with at least 5 years senior executive PA or Office/Business manager experience in the pharmaceutical, beauty or luxury industry who has proven line manager/supervisory experience. You must have experience of running projects or co-ordinating a brand at different trade conventions. You will be professional, confident and able to work quickly and efficiently, whilst possessing fantastic communication skills and a real can-do attitude.
